Also provides administrative and clerical support and “first line” customer phone contact for various units in Medicaid Programs.Duties and Responsibilities:

  • Assists department Directors and executives by performing the following administrative duties

  • Provide effective customer service using a multi-line telephone system, demonstrating the ability to direct calls to appropriate department personnel and take detailed messages from government officials, members who are often irate, and internal HMSA staff.

  • Process incoming/outgoing mail.

  • Perform general office work such as document reproduction, facsimile transmission, general typing and filing.

  • Process print requests, work order requests and other internal requisitions.

  • Maintain multiple departmental logs and manuals.

  • Coordinate meeting dates, room and equipment; contact attendees (internal and external); ordering/arranging for refreshments; arranging for registration material, name tags, meeting handouts, etc; and being physically present to assist meeting facilitator.

  • Assist with tracking and managing HMSA reports generated by others (fellow HMSA employees in Medicaid Programs and other HMSA departments) to ensure reports are submitted timely, accuracy is verified by Medicaid Programs management and staff, and reports are submitted timely and accurately to appropriate recipients to include the State of Hawaii Department of Human Services. Coordinate with teams within Medicaid Programs and from many other HMSA departments to ensure they are aware of required reports and due dates, provide them with reminders to ensure they submit their required reports to Medicaid Programs by the arranged due date, track reporting status, and report that status to Medicaid Programs management.

  • Personally Generate and distribute a variety of Medicaid Programs administrative reports to include monthly membership reports from QNXT claims system and communicate report results, status, and respond to questions about membership changes and other information indicated on the reports.

  • Utilize personal computer to maintain and update member databases in Microsoft Excel and Access, create mailing labels and form letters using mail merge, produce and revise lengthy documents using Microsoft Word, and produce reports.

  • Serve as Medicaid Programs Department Travel Coordinator. Stay current on all HMSA travel policies, procedures, and workflows. Coordinate, manage, and arrange executive and staff employee travel to neighbor islands and to the mainland to include air, car, and lodging arrangements and completion of accurate and timely trip expense reports.

  • Perform other duties including special projects as assigned.

Minimum Qualifications:

  • Associates degree and 1 year of related work experience; or equivalent combination of education and related work experience.

  • Effective verbal and written communication skills

  • Good working knowledge of Microsoft Office applications
